What actually changes when the work stops living in email and spreadsheets.
Most abnormal load work is already digital in the sense that it arrives by email. That is not the same as being managed. An inbox has no queue, no cover, no history, and no way of telling you what is about to be late.
What a team notices first
- Knowing what is outstanding without asking anybody.
- Cover during leave that does not involve forwarding a mailbox.
- Being able to answer a question about a movement from last year in under a minute.
What takes longer to notice
Consistency. When the work is spread across inboxes, two similar movements can get different answers for no better reason than who happened to pick them up. That is difficult to see and difficult to defend, and it is the thing a shared system quietly fixes.
What not to expect
Software does not make the difficult decisions. It should take the administration off them so there is time to make them properly.
